LivionWarehouse
Hotel warehouse management software

One stock truth for the entire hotel.

Control every item from supplier to central warehouse to department — and keep purchasing, deliveries, consumption, returns, transfers and compliance in one traceable flow. No spreadsheets. No store-room guesswork. No “did anyone order that?”

Multi-department stock Item-level ledger on every movement HACCP registers built in
Sound familiar?

Your stock is fine. Your visibility isn't.

“The spreadsheet said we had six. The shelf said zero.”
Livion keeps a running balance per item, per location — every in and out has a cause and a timestamp.
“Which supplier had the best price last time?”
Purchase history lives on the item: supplier, quantity, unit price, delivery date. The answer is one tab away.
“Kitchen ordered on WhatsApp. Again.”
Departments order from their own permitted catalog. Requests, approvals and fulfilment run in one system, fully logged.
Inside the module

From demand to delivery, one traceable loop.

A department requests stock, the warehouse fulfils what it has, shortages become supplier purchasing, the delivery posts to stock — and every movement stays explainable by item, department, date and cause.

01 — Item intelligence

Every item explains itself.

Open any item and see its whole life: department inventories, purchase history with unit prices, a movement ledger with cause and running balance, and date-filtered statistics. AI item analysis reads consumption velocity and price trends and tells you what to do about them.

  • In / out ledger with cause and warehouse balance
  • Purchase history: supplier, quantity, unit price, delivery date
  • Stock split across central warehouse and departments
  • AI item analysis with par-level and reorder recommendations
02 — Department demand

Departments order. You stay in control.

Each department sees only the categories and items you assign it. Orders move through Open → Out for Delivery → Delivered with a decline path; returns get an explicit approval. Shortages don't die in a notebook — they become supplier purchasing.

  • Per-department catalog access by category or item
  • Order and return statuses, filterable by date, status, department
  • Shortage lines flow into the supplier order draft
03 — Procurement & receiving

Order, deliver, reconcile — one chain.

Group items by supplier, send with a reusable email template, and link the sent order when the truck arrives. The delivery record carries the document number and the supplier PDF, and accepted quantities post straight to stock and price history.

  • Supplier ordering with subject, message and CC templates
  • Supplier order ↔ delivery ↔ uploaded document, always linked
  • Supplier registry with price history and yearly loyalty awards
PDF line extraction & auto-reconciliation — on the roadmap
04 — Consumption analytics

See where the money actually goes.

Consumption by department, category and item — quantity, value and share, over any date range. Compare periods, spot the anomaly before month-end, and hand finance a CSV instead of a shrug.

  • Insight tables by department, category and item
  • Quantity, value and share for volumetric and monetary priorities
  • CSV export from consumption history and deliveries
05 — Compliance & services

Audit-ready, every morning and evening.

Morning and evening temperature readings per cell, with history by date and cell — a digital HACCP-style register that lives beside the stock it protects. Parcels get tracked from courier to hand-off, with event links for group deliveries.

  • Cold-chain register: cell, temperature, morning/evening, history
  • Parcel reception with courier, sender, event and status
  • Bulk import (CSV, JSON, XLSX) for onboarding and refreshes
Part of one system

Warehouse doesn't work alone.

Because Warehouse shares its data with the rest of Livion, stock stops being a silo and starts being the property's supply engine.

Room Assets

Room items link to Warehouse SKUs. Replacement demand becomes a purchase order; last price and supplier mirror back automatically.

Maintenance

Technicians see live spare-part stock from the ticket. No walk to the store room to find an empty shelf.

Restaurant & MICE

Outlets and kitchens are departments with their own inventories and consumption — and event parcels are tracked against the event.
