LivionRoom Assets
Hotel room asset management

Know what's in every room — and what happens next.

Build a photo-rich catalog, assign purchases room by room, schedule lifecycle reviews, raise maintenance work automatically, and turn replacement needs into supplier-ready Warehouse purchase orders. The kettle gets replaced before the guest ever asks.

Age reviews per item, per room Tickets raised automatically Warehouse stock & prices mirrored
Sound familiar?

The guest finds out before you do.

“The kettle in 214 died. At check-in. On a Saturday.”
Every item carries an age-review horizon. Livion flags it before it fails — and opens the maintenance ticket itself.
“We bought 12 lamps last year. Where exactly are they?”
One purchase distributes to many rooms in a single flow — each room, quantity and alert recorded with the invoice attached.
“Who do we even order this hairdryer from, and at what price?”
Catalog items link to Warehouse SKUs: last price and preferred supplier mirror automatically into every reorder.
Inside the module

From “getting old” to “on order” — automatically.

Rooms, items, purchases and lifecycle rules on one side; Maintenance and Warehouse on the other. The loop between them is the product.

01 — Model the estate fast

96 rooms in an afternoon, not a quarter.

Bulk-generate rooms from a prefix and numeric range, assign floors and custom room types, and refine with photos as you walk the property. Floor and type filters keep the catalog usable during audits and room walks.

  • Bulk room generation with prefix, range and floor
  • Custom room types — your taxonomy, not ours
  • Search and combinable floor / type filters
02 — One purchase, many rooms

The invoice knows where everything went.

Record a purchase once: supplier, document, item lines — then distribute quantities across rooms in the same flow. Each assignment carries its initial status, an age-alert horizon in days, months or years, and an automatic maintenance alert, on by default.

  • Repeatable item lines and room assignments per purchase
  • Per-room lifecycle alert configured at purchase time
  • Purchasing shared with Warehouse — one ledger
03 — Linked to real stock

The catalog and the warehouse never disagree.

Link a room item to its Warehouse SKU and the important answers stay current: central stock, last purchase price, preferred supplier. Supplier and link coverage are tracked as completeness KPIs, so gaps are visible too.

  • Item codes / barcodes and hierarchical categories
  • Stock, price and supplier mirrored from Warehouse
  • One click from asset to reorder draft
04 — Replacement becomes purchasing

Drafts grouped by supplier. POs on confirm.

Replacement demand — auto-raised or added by hand — collects into a draft grouped by supplier. Apply an order or quotation template with placeholders, and confirming the draft creates a real Warehouse purchase order. Quote requests go out without prices, on purpose.

  • Separate order and quotation email templates
  • Supplier grouping with last prices prefilled
  • Warehouse PO created on confirmation
05 — The loop, end to end

Zero handoffs from flag to fitted.

Age review fires or staff mark an item to replace → a maintenance ticket opens with room, item and trigger → status syncs both ways → the reorder is drafted, grouped, confirmed into a PO → the delivery updates stock, price history and the room. Every step recorded.

  • Named triggers: AGE_REVIEW and STATUS_REPLACEMENT
  • Open → Ordered → In Progress → Resolved, mirrored on the asset
  • Full audit trail across asset, ticket and PO
Part of one system

The bridge between the room and the teams that serve it.

Maintenance

Aging and replacement-marked items raise tickets automatically — and the room card mirrors the ticket status until it's resolved.

Warehouse

Linked SKUs keep stock, last price and supplier in step. Confirmed drafts become purchase orders in the same ledger.

Housekeeping

Room walks flag items in seconds. Attendants report what they see; the system handles what happens next.
