How hotels can turn delivery PDFs into live inventory

Eliminate manual entry of hotel supplier deliveries.

·

Every supplier delivery arrives with a piece of paper or a PDF. In most hotels someone then retypes those line items into a system — slowly, and with the occasional typo that quietly distorts stock levels for weeks.

The operational problem

Manual delivery entry is one of those small daily frictions that adds up:

  • It takes time at exactly the moment the team is busiest — goods-in.
  • Typos in quantities and prices propagate into stock and cost reports.
  • Nobody enjoys it, so it gets deferred, and stock drifts from reality.

What Livion does instead

With Livion's Warehouse module you can create a delivery directly from the supplier's PDF. Livion extracts the line items, matches them to your catalogue, and asks you to confirm only the items it is unsure about. When you confirm the delivery, stock levels update automatically.

Honest about limits

Handwritten documents are not guaranteed to extract cleanly, and uncertain matches always require a human to confirm them. The goal is to remove the typing, not to remove the judgement.

Why it matters

Live inventory is only useful if it is actually live. Removing the retyping step means stock reflects what arrived, when it arrived — which makes everything downstream (ordering, costing, par levels) more trustworthy.
