Keep your hotel warehouse catalogue accurate
Why a clean item catalogue is the foundation of reliable hotel stock.
·
Every figure in a hotel's stock reports — what to reorder, what a department consumed, what the inventory is worth — is built on one thing: the list of items itself. When that list drifts, everything downstream drifts with it.
The operational problem
In most hotels the warehouse catalogue grows organically, and it shows:
- The same product is entered twice under slightly different names, so its stock is split and never looks right.
- VAT rates or pack sizes are wrong or missing, quietly distorting cost reports.
- Old products linger in the list long after a supplier change, and nobody is sure which ones are still real.
The result is a catalogue people stop trusting — and a team that works around it with spreadsheets and guesswork.
What Livion does instead
Livion's Item Management keeps the catalogue in one place. Each item has a name, a required category, a VAT rate and a package size, plus an optional item code and unit type, so the same product is described the same way everywhere. The list is searchable and can be filtered by category and availability, which makes it quick to check whether something already exists before adding it again.
When a product is genuinely retired, deleting it is a reversible soft delete: the item disappears for departments but its history stays intact, so past deliveries and consumption still add up. If it was removed by mistake, it can be restored.
Honest about scope
A clean catalogue is maintained, not magic. Livion makes each item consistent and easy to find, but deciding what belongs in the catalogue is still a human call — the tool keeps that decision tidy and reversible.
Why it matters
A catalogue that everyone trusts is what lets the rest of the warehouse work: departments order against real items, deliveries match what was ordered, and the value on the inventory report reflects reality. Getting the item list right is the least glamorous and most useful thing you can do for hotel stock control.
